An “internal system error” deleted a tenant’s rent payment. Support told the broker to
re-enter three payments. All three left the tenant’s bank, and the funds never reached my
company’s trust account.
A year later, the complaint says, the platform acknowledged that
its own records showed only one of the three. Over $3,240 unaccounted for.

Why your platform’s own trust report can’t catch the worst case
The built-in trust reconciliation ties the platform’s own ledger to the bank. So when the platform deletes its own record of a payment, both sides agree, the report comes back clean, and the money is simply gone.
The platform has said as much itself. Explaining a customer’s missing payout of roughly
$1,900 in a
public BBB response, it wrote that while the transaction was recorded in Buildium, no check was queued or
processed for printing.
Recording a payment and moving the money are two different
systems.
Only an independent, day-over-day copy of the platform’s records catches that. That is the entire job of this review.

Questions people ask first
How do you get the data?
Read-only exports or API access from Buildium, DoorLoop, or TenantCloud, plus PDF or CSV statements for the trust account. Nothing that permits moving money. If your bookkeeper or CPA already holds those credentials, they can pull everything and send it to me — I never need access of my own.
Do you ever have access to funds?
No. There is no scenario in this engagement where I hold, move, initiate, or approve a payment. If a platform only offers a role that can move money, we use your bookkeeper’s export instead.
Will you sign an NDA?
Yes, on your paper. Data is deleted after delivery on request, and I don’t name clients publicly without written permission.
What if everything ties out?
You get a dated independent integrity report saying so, and that is a useful document in its own right: exactly what a state examiner or a nervous owner wants to see. A clean result is not a failed engagement, and it doesn’t change the price.
Twelve months is a lot. Why not just the last quarter?
Because the documented failures are quiet ones — a deleted record or an undisbursed batch shows up as a slow drift, not a single bad day. Twelve months is the shortest window where a pattern is distinguishable from a timing difference.
Who is actually doing the work?
I am, personally. That is the point of the founding-client terms. No offshore team, no handoff.
